This guide covers how to create and submit Change Orders in Terial for production projects. Change Orders document scope changes, additional work, and cost adjustments during an active project.

Creating a Change Order

Note: The difference between a "Quoted" or "Back Charge" Change Order and a T&M Change Order lies in two extra steps: Adding Time and Materials and Collecting a signature.

Step 1: From the bottom of the Project page, under the tab "Change Orders" click "New Change Order".

Step 2: Enter Change Order Details by adding the Type of Change Order, identify who authorized it, enter a description, and upload any relevant photos or documents.

Step 1: The team can enter Time and Material (T&M) items directly from the mobile app.

πŸ’‘ Step 2: Have the on-site authorizer sign the slip to collect the signature, then select Email Signed Slip to send a copy of the signed work.

Step 3: "Select Send for Review" to notify the Project Manager to review and start pricing the Change Order. This automatically moves the Change Order status to Under Review.

Step 4: Click Price Request to begin pricing. Add materials directly on this screen.

Note: For "T&M" Change Orders any Labor pricing adjustments must be updated through the T&M card. Once complete, select Save and Complete.

Step 5: Choose whether to create the invoice by Total or Line Item. Make adjustments as needed.

Step 6: Ensure all details are accurate and add any additional line items in the "Change Order Request" card. Click Save and Complete. Download and send the PDF for signature.

Step 7: After the Change Order has been sent to the customer, click on "Mark as Pending Approval" which updates the status to Pending Approval.

Step 8: Log the decision by clicking the Approve/Reject button and entering the approved amount and date, or the reason why the Change Order was rejected in the Notes field.

Once approved, the Change Order will update the Project Contract Value accordingly.
